Context: This feature is the ability to upload a file at the parent level and pay to multiple branches and subsidiaries via the one file and one payment.
Submit and pay at the parent
Note: For this workflow, you will only need to set up the bank payment details and refund account for the parent organisation. Each of the branch and subsidiaries will inherit the bank details of the parent company.
Important: You will not be able to add any payment details for the branch or subsidiaries. If you wish to upload a file and pay at the branch or subsidiary level, they will inherit their parent payment details.
Employees
All employees for all organisations in the uploaded file will be saved under the employees tab at the parent level. The employees for each organisation will also be saved at each of the organisation level.
Tip: When populating a SAFF file for a branch organisation, you must ensure the ABN, location ID and Super Fund generated Employer Identifier is populated in the SAFF file so that the employees can be allocated to their correct organisation.
Users for the organisations
Branch and subsidiaries users will not have access to the parent organisation unless specifically added as a user.
Note: The Organisation Administrator for the parent organisation that sets up the branches and / or subsidiaries will have access to all the branch and subsidiary organisations set up. All other Organisation Administrators of the parent org will need to be added to the branch or subsidiary organisation if access is required.
Submitting a contribution
Navigate to the Contributions tab via the left sidebar
Upload a contribution file with all the registered organisations for the hierarchy to the parent (or topmost organisation)
Exclude any employees that have errors or inline edit those with errors that can be edited.
Submit your contribution.
Contributions can only be viewed at the parent organisation level.
If paying by
EFT,BPayorPayID, pay the contribution amount to your VBA to complete the contribution.
If paying by
Direct Debit, your payment will be automatically debited once you submit your contribution or on the date you have scheduled the payment.
All notifications and refunds will be directed back to the parent organisation and refunded to either the parent VBA or parent refund account.
Viewing employee contribution history
Help: Contribution history can be viewed at the parent organisation or the branch / subsidiary organisation for that employee.
To view the contribution history for an employee go to the Employees tab via the left sidebar
Select the employee from the list, click on the hyperlink of the employee name - this will take you to the employee profile
Within the last column of each row within the Employees table is an actions menu button (⋮). Click this to reveal the drop-down menu
